How MuniAudit handles your personal information under the Protection of Personal Information Act, 2013 (POPIA).

Who is responsible for your information

The responsible party is AHA Venture Studios, of Savannah Hills Estate, Midrand, 1685, South Africa. Our Information Officer is S. Potgieter, who can be reached at support@muniaudit.co.za.

What we collect, and why

We collect only what is needed to check your municipal account. We do not ask for anything else.

Your municipal bill or statementTo read the charges, tariffs and account details being disputed.
Your meter readings and reading historyTo check whether the charges reconcile to actual readings, and to identify estimated readings.
The property address and municipal account numberTo confirm the property category and erf details on the account, and to identify the account in the dispute.
Your name and one contact addressTo address the dispute letter correctly and to send you the completed pack.

We do not ask for your identity number, your banking details or your phone number, because none of them are needed to check a municipal bill.

Our lawful basis

We process this information to carry out the service you have bought from us — preparing your billing dispute. That is performance of a contract with you under section 11(1)(b) of POPIA. Where we rely on your consent instead, you may withdraw it at any time.

Who we share it with

Nobody, by default. We do not sell your information, and we do not share it for marketing.

We do not lodge your dispute for you and we do not send your information to your municipality. You lodge the dispute yourself, in your own name, using the pack we prepare. Anything that reaches the municipality is sent by you, not by us.

We use third parties only to run the service: a payment processor (Whop), which handles your card details directly and never passes them to us, and email and hosting providers used to deliver your pack.

How long we keep it

We keep your bill, readings and the dispute pack for 12 months after we deliver it, so that we can help if the municipality responds and you come back to us. After that we delete it. You can ask us to delete it sooner at any time, and we will, unless we are required by law to keep a record of the transaction.

Complaints to the Regulator

If you are not satisfied with how we have handled your information, you may complain to the Information Regulator of South Africa: inforegulator.org.za, or by email to complaints.IR@justice.gov.za.

Security

We keep your information on access-controlled systems and limit who can see it to the people preparing your dispute. No system is perfectly secure, but we do not retain what we do not need, which is the most effective protection we can offer you.

Changes

If we change how we handle your information, we will update this notice and change the date below.
